Adding bookings
This page is about the process of adding a booking to ChurchSuite. It does not cover the process of taking bookings in the first place, handling queries or taking payments.
If you want to book the Community Centre, you should contact the bookings secretary.
Adding a booking
Add a booking
- It’s recommended to add bookings from the resource planner.
- The booking name should be descriptive of what the booking is for. This information is not publicly visible – you are free to describe private bookings here as well.
- Set the date and time the booking is actually happening. Set-up and clean-down times can be added later as necessary.
- If needed, set a repetition pattern.
- Most bookings will be “Confirmed” when you add them, but you can also create “Pending” bookings if you want to block out the resource until a booking is confirmed.
- You can optionally add an event to the ChurchSuite calendar if you think it will be of interest to other users. Checking this box does not make a booking public – for that you should see our page on adding events.
- Add customer details as necessary. This is strongly recommended for all external bookings.
- Choose the correct booking type:
- “External: Church” is for bookings made by a 3rd party primarily using the Church building.
- “External: Community Centre” is for bookings made by a 3rd party primarily using the Community Centre.
- “Internal” is for all bookings made on behalf of St Mary’s.
Add the resources
- Choose the resources which are needed for this booking. If necessary, you can add set-up or clean-down time for bookings here to block out resources for a longer period of time.
- Some resources will ask for additional information, eg number of attendees.
- If necessary, you can adjust individual resource timings once the booking has been added.
Last steps
- Add a more detailed description of the booking. Remember that a description can be seen by all ChurchSuite users, as well as potentially the booker. If you need to leave a private note, use the “notes” feature.
How bookings fit into our data ecosystem
Bookings are not currently used in any automated systems, however they are used for reporting purposes and should still be kept as accurate as possible.
