Post-APCM tasks
After the APCM, the Church’s PCC will have changed and various things will need updating with the new membership.
Things you’ll need
You’ll need a copy of the PCC members list, PCC contact details, and the minutes of the post-APCM PCC meeting. If you don’t have any of these then the PCC’s secretary should be able to help.
ChurchSuite
- Head to the PCC tag and remove everybody from it.
- Head to the Deanery Synod Representative and remove everybody from it.
- Go through each member of the PCC in ChurchSuite and make sure:
- Their contact details are complete and correct:
- Full legal name
- Address
- Phone number
- Date of birth
- They have the PCC tag.
- If they are on the Deanery Synod, they also have the Deanery Synod Representative tag.
- Their contact details are complete and correct:
- Cross-check the total number of people in each tag to make sure you haven’t missed anyone.
Google Workspace
- Update the membership of the PCC Members group to reflect the current PCC.
User accounts
Create user accounts for all people who are in named roles. You should use the format [email protected].
Google Groups
Google Groups are used to assign permissions to people, so it’s important they’re accurate.
- Update the PCC Members Google Group to match the current PCC membership.
- Where a person has an @whitkirkchurch.org.uk email address, prefer using this.
Stripe
Stripe need an up-to-date list of members of the PCC to meet their Know Your Customer requirements.
- All members of the PCC, including ex-officio, elected and co-opted should be listed.
- Remove all other people listed (usually outgoing members of PCC).
- The Head of Technology should be the account representative.
- The Vicar, Churchwardens, Treasurer and Head of Technology should be marked as executives and given the appropriate job title.
- All other members of PCC should be marked as directors, and given the job title “Member of PCC”.
Church website
- Update the PCC page with the new membership.
- Order people by role first:
- Vicar
- Curate
- Churchwardens
- Deputy Churchwardens
- Secretary
- All other roles
- Then order by first name.
- Order people by role first:
- Update the contact page with any changes in roles.
- Follow the same ordering as the PCC page.
- Note that not all roles on the contact page are members of the PCC, but this is a good time to review them.
